Terms of Service

The agreement between an Academy and squadXL for using the platform. Individual parents, students, and instructors use squadXL through their Academy's account, not under a separate agreement of their own.
The parties
This agreement is between squadXL("we") and the gymnastics or sports business that signs up for the platform ("Academy," "you"). Everyone the Academy invites in, staff, instructors, parents, and students, accesses squadXL under the Academy's account and is bound by how the Academy chooses to use it, not by a direct contract with squadXL.
Accounts & eligibility
An Academy account must be created by someone authorized to act for that business. The Academy is responsible for every account it creates under its umbrella, owners, staff, instructors, and the parent/student logins it issues, including keeping login credentials reasonably secure and revoking access when someone leaves.
Subscription & payment
squadXL is offered on the plans described on our pricing page, billed either monthly or annually, whichever the Academy chooses at sign-up. Fees are due as invoiced; a subscription can be cancelled with 30 days' notice, effective at the end of the current billing period. Fees already paid are not refunded.
Acceptable use
squadXL isn't to be used to:
- Access, scrape, or export data belonging to another Academy
- Share Academy or portal login credentials outside who they were issued to
- Resell or sublicense access to the platform without our agreement
- Attempt to disrupt, reverse-engineer, or probe the service beyond normal use
Your data, your responsibility
Everything an Academy enters about its students, families, and staff remains the Academy's own data. squadXL processes it only to provide the service, as described in our Privacy Policy.
Because much of that data belongs to minors, the Academy confirms it has the right to collect it, including any consent required from a parent or guardian, before entering it into squadXL. That responsibility sits with the Academy, not with us.
Service availability
We work to keep squadXL available and reliable, but don't guarantee uninterrupted access, and we don't commit to a specific uptime figure. Planned maintenance is communicated in advance where reasonably possible.
Intellectual property
The squadXL platform, its design, and its underlying software belong to squadXL. Using the service doesn't transfer ownership of any of that to an Academy. An Academy's own data, and any content it uploads (branding, curricula, messages), remains the Academy's.
Termination & data export
An Academy can cancel at any time per the terms in the Subscription & payment section. squadXL may suspend or terminate an account for a material breach of these terms, with notice where practical. On cancellation, an Academy has 180 days to export its data before it's deleted from our systems, per the retention terms in the Privacy Policy.
Liability
If something breaks because of a bug or fault in squadXL itself, we'll fix it. We don't take responsibility for problems caused by how an Academy or its users operate the platform, an instructor recording the wrong attendance, a staff member misconfiguring a discount rule, data entered incorrectly, or similar user error is on the Academy's side, not ours.
Changes to these terms
We'll notify Academies of material changes to these terms before they take effect. Continuing to use squadXL after a change takes effect means the Academy accepts the updated terms.
