What squadXL does
A guide to every part of squadXL — how academies, instructors, parents, and students use it day to day.
Overview
squadXL is an end-to-end management system for gymnastics and sports academies. It replaces spreadsheets, WhatsApp groups, and paper attendance sheets with one system. Academy owners and managers, instructors, parents, and students each get their own view — admins run the business, instructors teach and track progress, parents and students follow along and self-serve.
The system supports multiple branches (locations) under one academy, and keeps every academy's data completely separate from every other academy on the platform.
Skill & Trick Tracking
This is the feature that sets squadXL apart. In gymnastics and similar disciplines, progress isn't "attended vs. didn't attend" — what matters is exactly which skill, at what level, a student can perform.
Class → Stage → Skill/Trick → Student Progress
Every class has a curriculum broken into stages, and each stage contains skills or tricks. When a student enrolls, the whole curriculum is applied to their progress card automatically — instructors never build a skill list by hand per student.
Every skill sits at one of four progress levels:
- Not started — the student hasn't begun working on it
- Not there yet — attempts have started, not landed
- Getting there — can perform it with instructor support/spotting
- Mastered — independent, fully executes the move
Instructors update these from a fast Tracker screen with color-coded dots — built for updating a whole class in minutes after a session. Every status change is permanently logged (who, when, from which status to which), so parents and admins can always see when a skill was mastered and who confirmed it. New curriculum skills are automatically applied to every currently enrolled student.
Classes & Scheduling
A Class is the top-level offering (age range, gender, level). The same class can run at different branches with its own price, capacity, and instructor — active at one branch, closed at another. A weekly schedule template auto-generates the real, individual sessions; cancelled sessions are marked cancelled rather than deleted. Capacity alerts appear once a class crosses 80% full.
Attendance
Instructors and front-desk staff take attendance per student, per session — a fast two-state present/absent toggle, available both by class and by location in bulk. Attendance rate is reported on the dashboard weekly and monthly, and every bulk attendance action is fully recorded in the activity log.
Students & Enrollment
A student profile holds personal info, parent/emergency contacts, date of birth, and an auto-generated Academy ID. Students can be enrolled in multiple classes and locations from one profile. Session packages can be sold; once a package runs out, it's billed as a one-time charge or renewed.
Instructors & Instructor Portal
Instructors are assigned to classes as main or backup, and their working branches are tracked. From their own portal, instructors can:
- View their unified weekly schedule (classes, workshops, private lessons, events)
- Take attendance for their assigned classes
- Update skill/trick progress for their assigned classes
- Set weekly recurring availability plus one-off exceptions
- Approve or decline private-lesson requests
- Update their own profile and password
Parent Portal
Parents log in with their own account and can:
- Manage multiple children from a single account
- View enrollments, schedules, and calendars for each child
- Track skill/trick progress in real time
- View payment status and submit payment claims
- Self-register for workshops and events, including payment details
- Request private lessons based on instructor availability
- Open a two-way support thread with the academy
Student Portal
Students with their own login can:
- View their own schedule and calendar
- View their own skill progress
- Create their own private-lesson requests
- View and register for workshops/events
- Update their own profile information
Private Lessons
Hourly pricing with automatic duration-based discount tiers, plus package purchases that draw down as lessons are taken. Flow: request → instructor or manager approval → automatic package draw-down. A late-cancellation fee policy is built in.
Workshops & Events
Workshops can be one-day or multi-day camps, with per-day pricing and session-count packages. Events can be open (all branches) or local (single branch); early-bird vs. regular fees are set automatically by registration date, and custom requirement fields can be attached per event. External, non-member registration is supported too.
Finance & Billing
Monthly packages are billed automatically based on attendance, with a downgrade mechanism for underused packages and a carryover system for credit/debt rolled into the next month. Payment status moves through Unpaid → Submitted → Verified. Expense, deduction, and payroll tracking, plus per-location and all-locations financial dashboards, round out the system. Once finance locks a month, retroactive changes are blocked.
Administration & Roles
Roles range from Owner/Admin/Manager (full access) to Staff (location-scoped, with individually grantable permissions), Instructor, Student, and Parent. Users can be assigned to multiple branches, with an active-location switcher in the navigation. A full activity log tracks who changed what and when.
